Privacy Policy

EmmaNotes ("the app") is a voice-note app built by CanLabs for recording short notes about people you meet and extracting structured contact information from them. This page explains what data the app handles and where it goes.

Your notes stay on your device

Voice recordings, transcripts, and the structured fields extracted from them (names, addresses, phone numbers, and any custom fields you define) are processed entirely on-device using Apple's on-device speech and language frameworks. None of this content is sent to CanLabs or to any CanLabs server — we don't operate one. Recordings are stored locally on your device and are deleted automatically according to the retention period you choose in Settings (or kept indefinitely if you select "Never").

Optional: Google Sheets sync (Pro feature)

If you choose to connect Google Sheets, EmmaNotes will:

• Ask you to sign in with Google, using Google's own sign-in screen.
• Request only the drive.file permission — the narrowest scope Google offers, which lets the app read and write only the one spreadsheet it creates for you. It cannot see any other file in your Google Drive.
• Create a spreadsheet named "EmmaNotes" in your own Google Drive and keep it in sync with your notes.

Once you connect, your note content (the same fields visible in the app) is written to that spreadsheet in your Google account — governed by Google's Privacy Policy, not CanLabs's. You can disconnect at any time from Settings; your spreadsheet remains in your Drive, and the app stops writing to it. This feature never sends your notes to a CanLabs server — the destination is exclusively your own Google account.

Anonymous usage analytics

EmmaNotes uses Firebase Analytics to understand which features are used, so we can improve the app. Only anonymous, typed events are collected — counts, durations, and fixed pass/fail reason codes (for example, "a recording started" or "extraction failed: model unavailable"). We never log the content of your notes, transcripts, names, phone numbers, addresses, or any other field value. This data is not linked to your identity and is not used for advertising.

Data you control

• You can delete any note at any time from within the app.
• Uninstalling the app removes all locally stored notes and recordings.
• If you've connected Google Sheets, disconnecting stops future syncing; you can also delete the spreadsheet directly from Google Drive.

Children's privacy

EmmaNotes is not directed at children and we do not knowingly collect data from children.

Changes to this policy

If this policy changes, we'll update the date above. Continued use of the app after a change means you accept the updated policy.
